This program is the foundation of the system as it is where your members particulars are entered and maintained. It is upon this data where you will search for groups of members for inspection and analysis, perform financial transactions and print reports. It is also against this membership database that usage of the facility will be logged, financial charges and payments are handled and special circumstances are noted (comment fields, medical screen, etc.)

The ClubTrak program is LAN ready for use from many computers throughout the club and can be augmented for multiple club member priviledges through the use of the Multi-Club module which restricts member access at any club through subsets of the master member database.

ClubTrak manages those services subscribed to by your members and the financial plans that accompanies them. Major features include:

  • recreational services are tracked in an Activities screen which maintains a historical log of each member's activities (equipment, aerobics, squash, tennis, gym, etc.) for which you have defined separate classes, or grouping of activities into a broader class (sports, health, VIP, etc.).
  • The non-recreational services (towel, locker, etc.) are tracked in the Financial screen along with the other charges (Initiation Fee, Monthly  or Term Fees) and the payment methods.
  • All types of billings are handled (cash, charge, debit, credit card, 3rd party, etc.) and can be pro-rated. Recurring charges are billed at start or middle of the month.
  • Referrals are recorded and can earn 'finder's fees' as a 1-time reward or continuously while the new member is active.
  • 'Freeze' or 'On-Hold' with date ranges that re-actives billing when the member is admitted earlier than the non-use period.
  • A powerful Search engine to query the database on almost every data field. Find anomalies and generate statistics for better management focus.
